After-hours voicemail greeting examples for trades

Greetings you can read out as they are, for HVAC, plumbing, electrical and roofing shops, with and without an on-call tech. The safety lines come from the gas and power companies' own pages, and the callback promise is one you can keep.

A good after-hours voicemail greeting for a trade does three things in under half a minute: says who the caller reached, tells a caller with a real emergency what to do right now, and promises a callback time the shop will actually keep. Below are example greetings for HVAC, plumbing, electrical and roofing shops, with and without an on-call tech.

Most lists of greeting examples are written for offices. A trade's after-hours caller is different: some have water on the floor or smell gas, and the greeting is the only thing between them and the next shop on the list. So these examples put safety first, keep the promise honest, and leave you blanks to fill in. Read them out as they are or change the words to sound like you.

What should an after-hours greeting say?

  1. Who they reached. The shop's name in the first breath, so a caller who dialed a list knows they got the right one.
  2. That you are closed, and when you open. One line.
  3. What to do in a real emergency. For a gas smell or a downed power line, the answer is never "leave a message." Say what the utility says, below.
  4. How to reach the on-call tech, if you have one. Or plainly that there is none tonight.
  5. What to leave. Name, the address of the job, a callback number and what is wrong.
  6. When you will call back. A time you will keep on your worst morning, not your best.

Read it out loud and time it. If it runs past about half a minute, cut words, not the safety line.

Safety lines to borrow, in the utilities' own words

For gas and power lines, do not write your own safety advice. Use the gas and power companies' words, which send people to 911.

If someone smells gas

Atlanta Gas Light's safety page says: "Leave the area immediately, warning others in the area as you leave." It says to avoid "anything that may cause a spark," including light switches and telephones, and: "Once you are out of the area of the suspected leak and in a safe place, Call 911, then" call Atlanta Gas Light. If the home's gas comes from a city gas system instead, name that utility in your greeting.

If a power line is down

Georgia Power's power line safety page says: "Always assume a downed power line is live and life-threatening," and to call 911 or Georgia Power.

Our own advice, not Georgia Power's: if your power comes from an EMC, call your EMC instead.

HVAC after-hours greeting examples

With an on-call tech

"You've reached [Shop name]. Our office is closed and opens at [time] on [day]. If you smell gas, leave the house now, and once you're outside call 911 and then your gas company. For no heat or no cooling tonight, call our on-call tech at [on-call number]. Otherwise, leave your name, address, a callback number and what the system is doing, and we'll call you back by [time] tomorrow."

Without an on-call tech

"You've reached [Shop name]. We're closed and open at [time] on [day]. If you smell gas, leave the house now, and once you're outside call 911 and then your gas company. We don't have a tech on call tonight. Leave your name, address, a callback number and what the system is doing, and we'll call you back first thing, by [time]."

Our post on why HVAC shops lose jobs after hours covers how to count what these calls are worth.

Plumbing after-hours greeting examples

With an on-call plumber

"Thanks for calling [Shop name]. We're closed right now. If water is coming in and you can reach it safely, turn off your main water valve. If you smell gas near a water heater, leave the house and call 911 and your gas company from outside. For an emergency tonight, call our on-call plumber at [on-call number]. Otherwise, leave your name, address, number and what's going on, and we'll call you back by [time]."

Without an on-call plumber

"Thanks for calling [Shop name]. We're closed and open at [time] on [day]. If water is coming in and you can reach it safely, turn off your main water valve. If you smell gas, leave the house and call 911 and your gas company from outside. We don't have a plumber on call tonight. Leave your name, address, number and what's going on, and we'll call you back by [time]."

Electrical after-hours greeting examples

With an on-call electrician

"You've reached [Shop name]. We're closed. If a power line is down, stay away from it and call 911 or your power company. If you see smoke or fire, call 911. For an urgent problem tonight, call our on-call electrician at [on-call number]. Otherwise, leave your name, address, number and what's happening, and we'll call you back by [time]."

Without an on-call electrician

"You've reached [Shop name]. We're closed and open at [time] on [day]. If a power line is down, stay away from it and call 911 or your power company. If you see smoke or fire, call 911. We don't have an electrician on call tonight. Leave your name, address, number and what's happening, and we'll call you back by [time]."

Roofing after-hours greeting examples

During storm season

"Thanks for calling [Shop name]. We're closed, and after a storm our lines are busy, so please leave a message and we'll call back in the order calls came in, starting at [time]. If a power line is down near your house, stay away from it and call 911 or your power company. Leave your name, the address, a callback number, and whether water is coming inside."

Ordinary nights

"Thanks for calling [Shop name]. We're closed and open at [time] on [day]. Leave your name, the address of the roof, a callback number and what you're seeing, and we'll call you back by [time]. If you'd like an estimate, tell us a good time to come out."

These greetings are examples we wrote for this post. Fill in the brackets, and only promise an on-call number or a callback time your shop will keep.

How do you change your voicemail greeting?

On an iPhone

Apple's guide: open the Phone app. In the unified layout, open Voicemails, tap Edit, then tap Edit Voicemail Greeting. In the classic layout, tap Voicemail, then tap Greeting. Choose Custom to record your own. Apple notes that voicemail is available from select carriers.

On Google Voice

Google's steps for the Android app: open Google Voice, open Menu, then Settings. In the Voicemail section tap Voicemail greeting, then Record a greeting. Save it, then next to it tap More and Set as active. Google says a greeting can run up to 3 minutes.

On other phones and office lines

Most carrier voicemail is changed from inside the voicemail itself: call your voicemail from your own phone and listen for the greetings option. The menu numbers differ by carrier and change over time, so we are not listing them. If you cannot find it, your carrier's support line can walk you through it.

When voicemail is not enough

A good greeting helps, but a voicemail is still a recording, and a caller with a dead condenser can call the next shop before your greeting ends. Two steps up from voicemail:

  • Forward the calls you miss. Conditional call forwarding sends an unanswered call to an on-call phone, a service or an agent without changing your number. Our call forwarding codes by carrier are read from each carrier's own page.
  • Have something answer. Our AI agent answers the calls you send it, takes the caller's name, address and the job, notes an appointment request your team confirms, and can put an urgent caller through to your cell. It is an AI and says so if asked. See the Forge Voice page, or the trade pages for HVAC and plumbing.

Questions owners ask about voicemail greetings

What should a business voicemail greeting say after hours?

Your business name, that you are closed and when you open, what to do in a real emergency, how to reach an on-call tech if you have one, what to leave in the message, and when you will call back.

How long should a voicemail greeting be?

Short enough that a caller with a problem hears the important parts before giving up. Read yours out loud and time it. If it runs past about half a minute, cut words, but keep the safety line.

Should a voicemail greeting give an emergency number?

Give your on-call number only if someone will answer it. For a gas smell or a downed power line, tell callers to get to safety and call 911 and the utility, as Atlanta Gas Light and Georgia Power advise on their own safety pages.

How do I change my voicemail greeting on an iPhone?

Open the Phone app. In the classic layout, tap Voicemail, then Greeting. In the unified layout, open Voicemails, tap Edit, then Edit Voicemail Greeting. Choose Custom to record your own.
