AI receptionist · HVAC

An AI receptionist for HVAC companies that answers the no-heat call at 2 AM.

Forward your line when your techs are out on calls or the shop is closed. Your agent asks the questions your dispatcher would ask, flags the calls you mark urgent, and sends you each caller's name, address and problem with a recording of the call. From $297 a month.

You will talk with an AI assistant. We record and transcribe the conversation.

Marked urgent and put through to the on-call cell

A written example of a call, to show how one goes. It is not a recording, and Harlow Creek Heating and Air is a made-up business.
When the calls come

A winter day on an HVAC line.

Heating calls come when the house gets cold, and that is often overnight or before dawn. Cooling calls stack up on hot weekends when the office is closed. The caller wants to know someone has the call and when to expect a callback, and the owner wants to know which calls cannot wait until morning.

Example calls, by the hour they come in Calhoun, GA

An example day with the shop open from 7 AM to 6 PM. 5 example calls are marked by the hour they come in; they are listed below.

  1. 5:40 AM Homeowner

“No heat, and the thermostat says 58.”

Asks who is home and whether the system runs at all, then flags it urgent.

  2. 10:15 AM Homeowner

“Can someone look at my heat pump this week?”

Takes a service request while your crew is on a job.

  3. 6:30 PM Property manager

“My tenant in unit 4 has no heat.”

Notes the property, unit and a contact for access.

  4. 9:50 PM Homeowner

“It smells like gas near the furnace.”

Tells them to get out and call 911 and the gas company.

  5. 11:20 PM Homeowner

“I want a quote on a new system.”

Takes home size, system age and timing for your comfort advisor.

Examples of the calls this trade gets, not real calls. Hours shown are an example. Lime is when Forge answers; calls in open hours reach it when you forward your line while you are busy.

Straight answers

What it does for HVAC companies, and what it will not do.

Your agent can

  • Answer every call you forward to it, including the first cold night and the first hot weekend
  • Ask your triage questions in the order your dispatcher uses
  • Tell callers your service call fee, if it is on the price sheet you give us
  • Take maintenance and install requests for your team to confirm
  • Put urgent callers through to your on-call cell, set up on request

Your agent will not

  • Diagnose a system, or tell a caller it is safe to keep running
  • Confirm an arrival time. It takes the request and your team confirms it
  • See your dispatch board, your tech schedule or who is on call
  • Page a technician by itself. Urgent calls go to the cell number you give us

Questions

Questions HVAC companies ask first.

What happens when it is a real emergency?

Your agent follows your rules. You tell us what counts as urgent, like no heat with someone vulnerable in the home, and it flags those calls first in your summary. With live transfer, set up on request, it puts the caller through to your on-call cell. For a gas smell, it tells the caller to leave and call 911 and the gas company.

Will my customers know it is not my dispatcher?

Yes. It greets every caller as an AI assistant on a recorded line, and if a caller asks, it says so again. It never pretends to be a person. We write the greeting and the rest of the script with you, and you approve it before a real caller hears it.

Does it work with ServiceTitan or Jobber?

Jobber sync, set up by our team on request. GoHighLevel and ServiceTitan sync are not available today. Jobber sync comes with the Scale plan. Without sync, every call still reaches your inbox as a written summary with the recording, set up on request.
